Unusable existing system

An AP system already existed, but accountants found it difficult and unintuitive. The team had to manually key in data from physical documents a time-consuming, error-prone process done entirely by hand.

No automation at scale

The team handled over 700,000 physical documents per year across 67 subsidiaries with no AI or automation support. Every document required manual classification, data entry, and verification.

What I did

Research & Synthesisu

Research & workflow mapping

Spent time with the accounting team to understand their end-to-end AP workflow — from receiving physical documents to data entry. Translated observations into detailed user flow diagrams, mapping pain points at each step to identify where automation and UX improvements would have the highest impact.

Design

Wireframes & prototyping

Designed the new AP interface from lo-fi wireframes to high-fidelity prototypes in Figma — focusing on clarity, reduced cognitive load, and a streamlined flow for processing large volumes of documents efficiently.

Validation

Usability Testing

Conducted usability tests with real accountants using task-based scenarios. Measured ease of use, visual design satisfaction, and overall system usability to validate the design before handoff to development.

Requirements gathering

Collected requirements from both executive users and the admin team to understand their distinct needs — executives needed a clear, scannable overview while admins needed efficient data entry and transaction management tools.

Design

Dashboard & Admin UI design

Designed two separate interfaces — a report dashboard for executives with multiple display conditions, filters, and data visualizations, and an admin interface for managing and importing asset transactions from various sources into one place.

Design

Branding & design system integration

Applied the client's branding guidelines — colors, typography, and visual language — consistently across the product. Balanced brand requirements with usability, especially on data-heavy dashboard screens.
